Solution

During temporary leaves or for other reasons you can mail automatic responses to incoming mails. You can also forward the incoming mail to an additional internal or external mail address that you can access despite your leave. You can respond with an individual subject and message body and can even attach files to your automatic response.

To set-up an autoresponder,

1. Log-in to the customer control panel of your host, e.g. "https://elbe.bitpalast.net:8843". You can find the name of of your host and the access credentials to your customer control panel in the server welcome mail that you have received at the beginning of the contract term.

2. Click on the "Mail" tab.

3. Click on the name of the mailbox that you want to edit.

4. Click on the "Auto-Reply" tab.

5. Check the "Switch on auto-reply" checkbox.

6. Enter a subject, select the e-mail format (text only or HTML), then enter the message body. You can also forward all incoming mails that are processed by the autoresponder to another mail address (you’re your private e-mail address where you can read incoming mails while you are on vacation).

7. Configure the number of maximum mails responses to send to the same sender can be set using the "Send an automatic response to a unique email address no more than [x] times a day" field. (Normally you do not want to respond to every single mail from the same sender with your autoresponder message, because once the sender has received your automatic response he will understand that you are off.)

8. You can attach one or more attachments to your automatic reply. You could use this feature to let customers get your up-to-date price list by e-mail without even processing their mail manually.

9. Finally choose a date when the autoresponder switches itself off again. You could enter the first day of work after your vacation.

10. Click on the "OK" button to store all settings and activate the autoresponder.
